Introduction

This privacy statement sets out how the Constructing Excellence Berkshire club (CEBerks) complies with the United Kingdom and European Union data protection requirements.

CEBerks is committed to respecting your privacy. CEBerks has structured the website so that, in general, you can visit that part of the website which is accessible to non-members of CEBerks without identifying yourself or revealing any personal information. Once you choose to provide CEBerks with any information by which you can be identified, then it will only be used in accordance with this privacy statement.

Collection of data

CEBerks collects a small amount of personal data to enable your registration and to manage your membership.

Processing of data

CEBerks processes your personal data to provide you with the benefits of your subscribed membership.

These include and are not limited to:

  • Event announcements
  • Event booking
  • Membership management
  • Membership renewal

When processing membership registration and payment, CEBerks has a legal duty to use correct and accurate data.

CEBerks has no legitimate interest in using your data other than the purpose presented above.

Recipients of the personal data

Your data is only accessible to the administrators of the website.

For corporate members this would include bundle administrators who have access to the members of their corporate bundle only.

Transfer to a third party

Once entered on CEBerks website, your data is transferred and hosted on servers outside the UK and managed by third parties. To protect your data these servers are EU-US Privacy Shield compliant and certified.  The site we use is Wild Apricot – their Privacy Statement can be viewed at https://www.wildapricot.com/privacypolicy

In addition CEBerks may be legally required to transfer your data to a third party organisation when requested by the relevant authorities.

Retention period

CEBerks keeps your data for the duration of your membership validity, and up to 7 years after your membership has expired (renewal date expired).

Data rights

You have the following rights in regard of the personal data CEBerks is holding about you:

1. Right of access

This allows you to access the data we are holding about you.

2. Right of deletion of personal data

This allows you to get the data we are holding about you permanently deleted provided this data must not be kept for longer due to legal requirement.

3. Right to object to processing

This allows you to prevent your data to be processed outside of the defined purpose. However restricting the processing of your data may prevent you to fully benefit from the advantages of CEBerks membership. In addition processing of data for a legal purpose cannot be restricted.

4. Right to data portability

This allows you to request a copy of the data we are holding about you.

You will need to submit a Subject Data Request and provide CEBerks with the necessary information to make this request valid. Note that CEBerks is entitled to reject a subject data request that is found unlawful or unreasonable.

5. Right to withdraw consent at any time, where relevant

This allows you to stop CEBerks using your data. Fulfilling such a request may result in your membership account being suspended or cancelled. Note that no refund of membership in part or in full will be made as a result of account suspension or cancellation.

6. Right to lodge a complaint with the supervisory authority

This allows you to report your concerns to the ICO on how CEBerks is managing your data.

Provision of data

The personal data you provide as part of the registration and membership service must be correct and genuine. It is a criminal offence to provide false information or use someone else’s  personal data (identity theft or fraud). CEBerks will report to the relevant authorities any fraudulent use of data.

Automated process

No automated decision-making process is in place towards your data.

Third party websites

As a convenience to CEBerks members, the CEBerks website includes links to other non-CEBerks websites; these are independent of our site and our privacy policy does not apply on these sites. CEBerks recommends you review the privacy policy on these sites to ensure you agree with them, and how they may use your data. 

Breach of data

CEBerks has physical and digital security measures in place to monitor and prevent your data being misused or stolen from us.

However if you suspect the data CEBerks is holding about you has been misused, shared outside the processing parties, or divulged without your consent, please immediately contact CEBerks.

Your consent

By using our website, you consent to the collection and processing of the data by CEBerks. If we decide to change our privacy policy, CEBerks will post those changes on this page so that you are always aware of what data is collected, how it is used and under what circumstances it may be disclosed.

For each event CEBerks is organising, your consent will be sought towards the use of your data. This utilisation would typically consist of:

  • access to the venue (security),
  • identification of attendees (badges),
  • health and safety considerations, and
  • event management.

Photos and videos may be taken at some of the events. Your consent will be sought before CEBerks reuses these on the website or social media. However please note that CEBerks has no control or responsibility regarding other attendees taking photos or videos and what they do with these afterwards.
